Our Data Protection Complaints Procedure
1. Your Right to Complain
We are committed to protecting your personal data and respecting your privacy. If you believe we have mishandled your personal information or not met our data protection obligations, you have the right to raise a complaint. We take all concerns seriously and will work to resolve them promptly and fairly.

3. What Happens Next
Once we receive your complaint:

We will acknowledge it within 5 working days

We will investigate the issue thoroughly and fairly. If your complaint relates to a member of the Data Protection Team, arrangements will be put in place to ensure the process is robust and impartial

We may contact you for further information if needed

We aim to provide a full response within 20 working days
If the matter is complex and requires more time, we will keep you updated on progress.
4. Communicating the Outcome
We will respond to your complaint in writing (by email or post, depending on your preference). Our response will explain:

Any actions we have taken or plan to take

Your options if you are not satisfied with our response
5. If You Are Still Not Satisfied

The Data Controller for your information is MySelf Management, Thorfin House, Bridgend Business Park, Dingwall IV15 9SL, registered charity number SC050558.
All your personal information will be processed in accordance with UK data protection law including the Data Protection Act 2018, the UK General Data Protection Regulation (UK GDPR) and the amendments introduced by the Data (Use and Access) Act 2025.

We will use your personal data for the following purposes: communicating with you, registration with MySelf Management, and administration of services, activities, courses, workshops and projects.
Our lawful basis for using the data is/are:

MySelf Management is carrying out a public task in the public interest

Data processing is necessary for MySelf Management to comply with charity law

Data processing is necessary to protect the vital interests of the individual or another individual (in a life-or-death situation)
If you withheld this data, you would be unable to access MySelf Management services.
We do not hold special category (sensitive) data about your long-term condition on our members database. However, we do recognise that becoming a member can identify you as someone who is living with a long-term condition and have appropriate safeguards in place to protect your information, for example access restrictions are in place for our database.
Your data will, or may, be shared with the following recipients or categories of recipient:

sfG Software Ltd, our IT Support providers

Partner organisations who help us deliver specific services from time to time and where you have expressed an interest in that particular service

External print shop to facilitate the (occasional) direct distribution of high-quality newsletters

This process does not involve your data being sent outside of the UK.
The processing of your data does not involve automated decision making.

If you join our Facebook Groups, you will be sharing your information directly with Facebook. You should refer to their privacy notice to understand how your information will be processed by Facebook. You are not required to join our Facebook groups to access our services.
Your data will be retained for the following length of time:

Membership registration information will be held until you advise that you no longer wish to be a member.

You will receive emails about our services unless you advise that you no longer wish to receive these (there is an option in the emails to ‘unsubscribe’) or no longer wish to be a member.
Your Rights
